Event Terms & Conditions
This page (together with the documents referred to on it) defines the terms and conditions on which you make an online booking for a place on any of our events, conferences and training courses. Please read these terms and conditions carefully before booking any of our events or training courses. By booking any of our events or training courses, you agree to be bound by these terms and conditions.
If you refuse to accept these terms and conditions, you will not be able to book any of our events or training courses.
1) A contract shall be deemed to have been made between Cambridge Wireless (“CW”) and the booking client ("delegate") when the delegate has completed the event registration form and CW has accepted this booking.
Bookings
2) Bookings do not automatically guarantee confirmation of a place at the event. CW will confirm all bookings in writing. Places cannot be reserved without full payment. All bookings are made on a first-come, first-served basis. CW reserves the right to refuse bookings at its discretion.
Late Bookings
3) CW will accept late delegate bookings, subject to availability up to and on the day of the event. CW will try to ensure that late booking information is incorporated into the event administration process; however, this cannot be guaranteed if the booking is made less than 7 days before the event.
4) Bookings made within 7 days of the event must be paid by credit card at the time of booking.
Payment Terms
5) Where invoice is the elected payment method, payment is due upon receipt of an invoice and must be settled prior to the event.
Consequences of failure to pay
6) If full payment is not made when due, this will be considered a breach of contract by the delegate, and CW will be entitled to reallocate the delegate’s booking. In this instance CW will inform the delegate that their booking has been reallocated.
7) If payment in full has not been made by the date of the event, CW reserves the right to deny the delegate entry.
8) In the event that the delegate is denied entry, CW shall return any monies already paid by the delegate.
Cancellations by CW
9) CW reserves the right to amend or cancel any event. This includes changes to dates, times, speakers, content and the programme.
10) In the unlikely occurrence that CW cancels an event, delegates may be offered to attend an alternative event held by CW, at no additional cost, subject to availability.
11) Alternatively, CW will return any payments received in advance. CW will not, however, refund any other costs incurred as a result of this cancellation.
Cancellations by the delegate
12) CW must be notified of cancellations in writing, or by email to hello@cambridgewireless.co.uk
13) Cancellation charges do not apply to free events.
14) Delegates may request a booking transfer to another event, or a delegate substitution, in place of a booking cancellation.
15) Delegates requesting a transfer are subject to the conditions 21 and 22.
16) Cancellation notices received within 8 weeks or more prior to the date of the event will be refunded.
17) Cancellation notices received between 28 days and 8 weeks prior to the date of the event will be subject to 50% payment.
18) Cancellation notices received between 14 days and 28 days prior to the date of the event will be subject to 75% payment.
19) Cancellation notices received within 14 days of the date of the event will be subject to full payment.
20) Where payment has not yet been made, an invoice will be raised for 50% of the booking fee to be paid in full.
Booking Transfers
21) Delegates unable to attend an event may transfer their booking to another CW event (subject to availability). Booking transfer requests must be received in writing 14 days prior to the event date to hello@cambridgewireless.co.uk.
22) Delegates that do not wish to transfer their booking to another event will be subject to the cancellation policy outlined above.
Delegate Substitution
23) CW will accept substitute delegates to attend the event without charge.
Failure to attend an event
24) No refunds will be provided on failure to attend an event and delegates will be subject to payment in full of the original booking fee
Alterations to advertised packages
25) Every reasonable effort will be made to adhere to the event programme as advertised, however, CW reserves the right to make changes to any event, including the dates, times, speakers, content and the programme.
26) CW accepts no contractual liability for any changes made to an event prior to confirmation of the booking.
27) Delegates agree to accept changes made to an event by CW, after confirmation of booking. CW will make every reasonable effort to ensure any changes are appropriate and relevant.
Admission restrictions
28) CW and venue management reserve the right to refuse admission or to eject delegates in circumstances deemed reasonable for example, due to concerns regarding health and safety, security, or environmental concerns. Delegates may also be refused entry or ejected from the venue on account of exhibiting anti-social behaviour. No refunds will be offered to delegates who are refused entry or who are ejected in these circumstances.
Limitations of Liability
29) Neither CW nor the venue operator will be responsible for loss, damage, death or injury incurred, unless (i) the relevant party has breached its legal obligations and (ii) such loss or damage is a direct or reasonable foreseeable result of the breach.
30) CW accepts no responsibility for any loss incurred while using material or information gathered at CW events.
31) The copyright of all material rests with the trainer, speaker or CW and CW will not be held responsible for any infringements as a result of plagiarism, libel, slander or misuse of material.
32) Unless explicitly stated to the contrary, materials presented at CW events may not be reproduced, copied, or in any way incorporated into or stored on any website, electronic retrieval system, publication or in any other form.
Patents and Trade Marks
33) All trademarks, service marks, trade names, slogans, logos, and other indicia of origin that appear at or in connection with the event are the property of CW and/or its affiliates. Delegates may not copy, display or use any of these marks without prior written permission by the relevant owner. The event and/or portions of the event may be protected under patent law as the subject of issued patents and/or pending patent applications.
Complaints
34) If you wish to make a complaint, please notify a member of the CW team immediately. The CW Team will take responsibility to find a speedy and satisfactory solution. In the event that you are not satisfied with the solution, please put this in writing to hello@cambridgewireless.co.uk
Privacy
35) Delegate details are managed in accordance with CW's privacy policy and website terms and conditions. Events managed by CW on behalf of a third party or affiliate, are subject to delegate information being shared with the third party organisation.
36) Photography, filming and recording may be carried out at the venue from time to time. Delegates consent to being included in photographs, video and/or sound recordings which may be used by CW, without payment, in printed and electronic media, including CW website and social media, for promotion of CW and its activities and may be selected for permanent preservation in CW archives and used for research, publication, education, lectures, broadcasting, public performance, displays and exhibitions. If you would prefer not to be included in any event recording please let a CW Team member know or email hello@cambridgewireless.co.uk ahead of the event.
Force Majeure
37) We will not be liable or responsible for any failure to perform, or delay in performance of, any of our obligations under a Contract that is caused by events outside our reasonable control ("Force Majeure Event"). A Force Majeure Event includes any act, event, non-happening, omission or accident beyond our reasonable control and includes in particular (without limitation) the following:
- Strikes, civil commotion, riot, invasion, terrorist attack or threat of terrorist attack, war
- Fire, natural disaster, communicable disease outbreak or epidemic
- Impossibility of the use of public or private transport
Law and Jurisdiction
38) Contracts for the booking of our events, conferences and training courses through the CW site will be governed by the law of England and Wales. Any dispute arising from, or related to, such Contracts shall be subject to the non-exclusive jurisdiction of the courts of England and Wales.
