Job Description
We are seeking a highly organised, creative, and experienced Event Project Manager to lead the execution of a week-long event series. This role is critical in delivering CTW’s events strategy, ensuring the seamless coordination of events throughout the year. A key focus will be engaging committees, supporters, partners, and stakeholders, while liaising across departments and leading regular planning meetings. The ideal candidate will have a proven track record of managing high-profile events with distinguished speakers. Responsibilities span the entire event lifecycle—from strategic planning and on-site execution to post-event analysis—while ensuring all events align with CTW’s overarching goals. You will collaborate with cross-functional teams, vendors, and stakeholders to deliver an exceptional experience for attendees.

Responsibilities

  • Lead the planning, development, and execution of a week-long series of events, ensuring alignment with overall organisational goals and objectives. Feed into the CTW committee and sub-committee.
  • Oversee the creation and management of event plans, logistics, timelines and resource allocation for all activities.
  • Manage a team of event coordinators and assistants, delegating tasks and ensuring successful delivery.
  • Collaborate with senior leadership, marketing, sponsorship and other departments to align events with strategic initiatives.
  • Support the marketing lead with messaging and copy to support the promotion of the events to maximise attendance.
  • Coordinate with external vendors, partners, and contractors to secure necessary event services (AV, catering, security, transportation, etc.).
  • Track and analyse event ROI, providing recommendations for improvement. Collect attendee feedback to refine future strategies and compile a detailed post-event report with financial reconciliation, performance metrics, and lessons learned.
  • Oversee the event administration including planning meetings, briefing notes and detailed schedules
  • Source venues & liaise with event suppliers, undertake venue site visits and work with venues to ensure correct set up on the day of events
  • Act as the main point of contact on-site during the events, managing staff, supporters, sponsors, exhibitors and attendees. Ensure high standards for attendee experience, safety, and event execution.
  • Manage relationships with speakers including registering speakers, chasing and collating speaker biographies/presentations, sending joining instructions, briefings and confirmation emails
  • Liaise with sponsors and speakers to ensure relevant information is obtained for conference materials
  • Manage event webpages including adding events, speakers, exhibitors and processing registrations and proofing agendas and event pages on website, ensuring these are updated with relevant information both pre and post event
  • To support event administration, including event mailings, sending confirmations, building slide decks, creating agendas, printing badges and producing delegate lists/packs and packing for events
  • Be responsible for creating accurate event budgets and tracking expenditure against agreed targets through to reconciliation

Qualifications and experience required
The successful applicant should have a minimum proven 5 years’ experience coordinating professional events for a range of organisations and stakeholders. Experience with event management processes, administrative procedures and customer service is a requirement. Must have availability to travel within the UK, some events will also require work at evenings and occasionally weekends.

  • Strong problem-solving skills and the ability to remain calm under pressure.
  • Excellent time management skills, the ability to prioritise and manage multiple projects and meet deadlines.
  • Ability to communicate clearly and persuasively, both in person and in writing.
  • Ability to operate effectively at a senior level with internal and external stakeholders.
  • Excellent relationship development skills and the ability to network effectively with a wide range of people on every level.
  • Experience in managing virtual and hybrid events in addition to in-person experiences.
  • Proficient use of the general suite of Microsoft Office Programmes (Outlook, Word, Excel), event management software and ideally Adobe Acrobat.
  • A team player who displays a positive can-do attitude.
  • Willingness to travel and work extended hours during event week, including weekends, as required.

Desirable Skills

  • Experience of working in technology sector or interest in technology and tech companies /start-ups
  • Be a driving license holder, first-aider, health & safety qualification
  • Experience using CRM/CMS systems

Salary: Competitive
Holiday entitlement: 25 days plus Bank Holidays - pro-rata
Pension: Enrolment into company pension scheme
Employment type: Fixed term – 10 months depending on start date with the potential to morph into a permanent role

Flexible-hybrid model
Achieving work-life balance has never been more important and so Cambridge Wireless has adopted a flexible-hybrid model. This means that people will work flexibly with a blend of remote (home) and co-located (office) work, with teams having the flexibility to decide which location best suits the outcomes they need to deliver.

Position
Fixed-term contract. Full-time role working 37.5 hours per week, Monday – Friday but flexible hours are available and can fit around school hours. Must be available to work throughout August to end of September 2025. CTW24 runs from 15 –19 September and you’ll be expected to be on site for events every day.
